Quoted separately, and shown as separate lines rather than folded into a single figure: streaming and recording, camera operators, additional breakout rooms, custom set builds and any content production.

Crew, on every conference. We do not drop equipment off and leave you to run it. Depending on the setup that means an audio engineer, a video operator running the presentations, lighting and stage crew, and a production manager coordinating the day. The person operating your conference is one of the people who built it that morning.

From focused sessions of under 100 delegates to more than 1,200 across two stages. Recent examples: PortmanDentex's ConnectEd event at The Alex Hotel for a senior clinical audience of under 100, PAM 2025 across three event days at The Gibson Hotel, and Movement Conference 2025 for 600 attendees at City North Hotel. In Northern Ireland we produced two fully produced stages for 1,200+ delegates at the NI Chamber Festival of Business 2026. We deliver more than 300 events a year, so the answer to "have you done one this size" is usually yes.

Yes. We supply cameras, camera operators, a vision mix, a stream feed for remote delegates and session recordings for use afterwards. We stream regularly, including the Hack the Isles Live Final at Campbell College Belfast, where we handled streaming alongside full production and power.
Streaming depends on the venue's internet.

We plan the whole programme as one build rather than as separate rooms quoted individually. Before the event we agree which rooms carry a dedicated technician, which are set to run unattended, where the roaming technician is based, how presentations reach each room, and what happens when a session overruns.
At PAM 2025 at The Gibson Hotel we ran stage, panel and presenter setups across three days, and in Northern Ireland we ran three rooms at Titanic Belfast for almost 400 delegates at Gemba Summit 2025.

We take it. We test every deck on the machine that will actually run it, including embedded video and audio, and we cue slides from our machine with an operator so the presenter is not driving an unfamiliar laptop. Confidence monitors face the stage so they can see the current slide without turning round.
Collecting decks the day before makes for a calmer morning, and we will chase them if you want us to. But late decks are normal at every conference we deliver, and we plan for them rather than treating them as an exception.

Yes, where the schedule allows it. We build early, run every presentation through the system, check microphone levels with the actual presenters where they are available, and walk the running order with whoever is chairing.

For a single-room conference of around 200 delegates, typically half a day. Multi-room conferences and larger LED builds usually need the full day before, or an overnight window.
Short windows are workable when the venue allows it, and we regularly build overnight when a Dublin hotel only releases the room the evening before. For Movement Conference 2025 at City North Hotel we built between 2am and 9am.

Speech intelligibility is the single most common conference AV failure and it is mostly a design problem, not an equipment problem. We size and position the system for the specific room, allowing for ceiling height, hard surfaces and how the audience is seated, then set levels in the room rather than assuming a standard configuration.
Rooms with high ceilings, glass or bare walls need more care, and that covers a lot of Dublin's Georgian and Victorian function rooms. We check the room before we specify, not on the day.

AGMs have their own requirements: clear audio for questions from the floor, presentation playback for the accounts and reports, confidence monitors for the board, and a professional look that reflects the organisation in front of its members. We produced the Visit Belfast AGM 2025 at the Europa Hotel with a 6m LED video wall, lighting, staging and microphones, and the NI Chamber AGM 2025 at Queen's University Belfast.

Yes, and it is a large part of what we do. We keep the layout, the show file and the build detail from one year to the next, so the second year starts from a working setup rather than a blank page. That holds even when the venue changes, which for membership organisations it often does.
Susan Cummings, Event Manager at NI Chamber of Commerce, has described every event we have worked on for them as seamless. That is a multi-event relationship across several venues rather than a single job.

In-house AV is convenient and already in the building. It is usually the right answer for a straightforward meeting with a screen and a couple of microphones.
An external production company makes more sense when the event carries reputational weight, when you need a specific look rather than the venue's standard setup, when there are multiple rooms or a complex running order, or when you want the same team and the same standard across venues year after year. It is also worth checking the in-house AV terms before you sign the venue contract, because some venues restrict external suppliers or charge to allow them, and that is much easier to negotiate before signing than after.
We are happy to talk it through even if you end up using the venue's team.
